Changing Assignment Details

HR Liaisons

A change of appointment status represents a change to the assignment in one or more of the following categories:

Appointment End Date

Reappointment for Faculty, Admin Professional, Other Salaried, Graduate Assistant, and Non-Student Hourly:

  • Can be the first day after the current end date or earlier to prevent break in service
  • If assignment status is Suspend Assignment, Appointment End Date does not have to follow this rule
  • Nine-month assignments with an end date of May 16 will be reappointed effective August 16

Employment Category

  • The employment category (regular, special, or temporary) may be changed for Faculty and Admin Professional only.

FTE (Working Hours)

  • If employee has multiple assignments, total hours cannot exceed 40hours/week
  • When decreasing FTE for a Faculty or Admin Professional, the department should work with the Office of General Counsel if the change is involuntary. If the change is voluntary, include a statement to this effect when submitting the assignment change.

  • State Classified: A change in FTE requires that a memo from the employee pdf icon agreeing to the change be sent to HR Records.

Job Title

  • Demotion, promotion, or transfer to new job title at same classification level
  • State Classified: A demotion requires that a memo from the employee pdf icon agreeing to the change be sent to HR Records.

Organization

The "new" department is responsible for transferring an employee between departments.

Salary

  • Faculty, Admin Professional, Postdoctoral Fellow: Out-of-Cycle Merit Increase form required.
  • State Classified: can only occur through referral/eligible list (application process), PDQ reallocation submtitted by department, or via use of reinstatement rights.

Salary Basis

A change in salary basis from 9-month to 12-month, or vice versa, must be made on the first of the month. has to be noted in Comments and then Records will complete the change after Payroll approves.
